Contacts/Hiring Managers

This section of the Wiki is for Creating and managing your Contacts or Hiring Managers.  A "Contact" is the person or entity that is your contact at a Company.

If you are a staffing agency this person can be the Contact at the company you are sending resumes to for their approval and interview.
If you are an HR Department, this person is often the Hiring Manager over a department you are sending resumes to for their approval and interview.

Getting Started

Find the Option that says "Contacts" in the Left Frame of the BrightMove Application. Click on the small plus sign to the left of the "Contacts" option. The expanded menu of options will be displayed. 

Creating a Contact

The first option that appears on the "Create New Contact" screen asks you to choose a client from a drop down menu, or to create a new client. A contact is always associated with a client, so if the client is not on the drop down menu, add a new one by following the directions provided if you click on the "add new client" button.

Once you have entered or selected the client where your contact will be located and clicked the "Next" button, you will be asked to select which office of that client the contact will be located. Again, select one from the drop down menu or create a new one by following the directions. Once you have finished, click the "Next" button. You should now see the "Create Contact" page. There are places for all of your contact's personal information, phone information, address, territory, and sales account classification. Fill out the information that is applicable and click on the "Submit" button at the bottom of the screen. The contact will become a part of your BrightMove database.

Importing Contacts using XLS Spreadsheet

Another option for creating a group of contacts is through the import Contacts Feature using an XLS Spread sheet.

To use this feature go to:
Contacts/Managers
Select "Import Contact XLS"
 
Then You will see the Browse to button along with some instructions.

Needed File

You must get the XLS template from a BrightMove Support or Sales representative.

No Size Changing

Make sure not to change the height or width of the columns or rows in the template as it will affect the data imported.

Once you have imported the file your contacts will be created under the Company you specify.

Row Size and Data verification

Spreadsheets are limited to 2000 rows per upload. (One for header and 1999 rows for contact data)

Simply split up your data template to be less than 2000 rows to upload correctly.

In addition there is also data verification against all fields so if your zip code is longer than 10 digits it will reject that record.

After your upload is complete you will receive an email with the errors and failed records along with amount of successful uploads.  This will allow you to correct your errors, and resubmit the failed records.
